What to prepare before requesting refrigerated transport
A complete request lets dispatch assess route, documentation and vehicle readiness in one pass instead of several back-and-forth messages. Here's what to have ready before you call or WhatsApp the transport desk.
The six things dispatch will ask for
- Instructing provider. The funeral parlour, mortuary, hospital, insurer or repatriation coordinator authorising the transfer.
- Collection facility. Name, address and a contact person who can confirm release.
- Destination facility. Name, address and the receiving contact who will sign for handover.
- Timing. A requested collection window, or whether the request is urgent and needs same-day assessment.
- Documentation status. Whether release paperwork is ready, pending, or being finalised by the instructing party.
- Route context. Anything unusual about access, distance or onward connections that affects scheduling.
Sending these details together, rather than one message at a time, is the single biggest thing that speeds up a response — especially for after-hours or weekend requests.
